Information and Purposes

Contact and inquiry details help us respond to questions, arrange services and communicate about properties, applications, tenancies and management relationships. Property and management information supports onboarding, property management, accounting, authorized distributions and reporting.

Application and occupancy information is used for authorized application processing, screening and rental-history checks, lease documents and tenancy administration. Maintenance information supports service requests, access arrangements and service records. Payment and reporting information supports authorized transactions and accounting through the applicable systems.

Provide sensitive identity, financial or screening information through the approved application, portal or other process requested by Apex. Do not include account passwords or unnecessary sensitive information in a general website inquiry.

Sources and Recipients

Information can come from you, an authorized representative, application or transaction documents, approved consumer-reporting sources where authorized, and systems used to provide requested services. A general inquiry is not a rental application or consent to every form of processing.

Authorized Apex personnel and service providers may access information needed for their assigned functions. These functions include hosting and form delivery, property-management portals, communications, accounting and authorized payment processing. Disclosures to property owners, vendors and transaction participants are subject to the relevant authorization, service, agreement and applicable requirements.

Website Features and Linked Services

The website is supported by Property Manager Websites and links to AppFolio owner, resident and application services. It also includes a Google Tag Manager component and third-party features such as forms and maps. Third-party features and linked services can be subject to their own privacy notices and settings. Review those notices when using the relevant service.

Browser controls can help manage cookies; restricting cookies may affect features that depend on them. Contact Apex with questions about website information or available privacy choices.

Information Protection

Apex's written information-protection policy requires company-approved systems, access limited by role, individual credentials and multi-factor authentication when available. It prohibits password sharing and unauthorized storage or transmission of sensitive information. Paper records must be kept in controlled locations.

The policy requires suspected loss, unauthorized access or misdirected disclosure to be escalated to management, with containment, preservation of evidence, evaluation of affected information and any notices required by applicable law. No website or electronic transmission can be guaranteed completely secure.

Retention and Disposal

Records are retained for the relevant service and applicable contractual, legal, accounting and recordkeeping obligations. Records subject to an audit, claim, investigation or other preservation hold are retained while the hold applies. When disposal is authorized, Apex's policy requires secure disposal of paper records and electronic information so it is unreadable or indecipherable.

SMS Information

Mobile information, phone numbers and SMS opt-in consent are not shared, sold, rented or disclosed to third parties or affiliates for their marketing or promotional purposes. SMS consent is used for communications about Apex services. See the separate SMS Privacy Policy.

Requests and Contact

To ask about your information, request a correction, update communication preferences or submit a privacy request, contact all@apexpmr.com or (303) 665-8944. Apex may need to verify identity or authority before disclosing or changing records. Requests are evaluated under applicable requirements and record-retention obligations.
