Maintenance Services & Compensation Disclosure

Apex Property Management and Real Estate Inc.

Apex Property Management and Real Estate Inc. ("Apex") operates an in-house maintenance department and also coordinates work with independent vendors. Apex may receive compensation or other financial benefit from maintenance, repair, inspection, make-ready, improvement and related services. This disclosure explains the compensation described in Apex's maintenance policy and the choices available to property owners.

In-House Services and Pricing

When Apex employees perform authorized work, Apex bills the disclosed hourly rate, quoted price or other rate authorized in the management agreement or work approval. Apex may earn a profit from those services. The applicable quote or work authorization identifies the work and its pricing; this page does not establish a universal hourly rate.

Materials Procured and Delivered by Apex

For general repair work, Apex's maintenance policy provides for a 30% procurement and delivery markup on the documented cost of materials, parts and supplies that Apex itself procures and delivers. It compensates Apex for sourcing, purchasing, transportation, handling and related administration. The material cost and markup are separately identifiable in the work order, invoice, owner statement or supporting documentation.

This markup is not represented as a third-party vendor charge and does not apply to an independent vendor's invoice merely because Apex arranged the vendor.

Independent Vendors and Separate Compensation

Under the maintenance policy, Apex passes through an independent vendor's invoice at the amount billed and does not increase or alter that invoice itself. A participating vendor may separately pay Apex a rebate, revenue share, referral payment, volume-based payment or other consideration under a written arrangement. Any such financial benefit is separate from the vendor invoice and is disclosed as required before the vendor is selected or used.

Project Management Fees

The maintenance policy specifies the following project management fees, based on the total approved project cost excluding the project management fee itself:

Approved Project Cost Project Management Fee
Greater than $2,000 and less than $5,000 $250
$5,000 or more $500

The fee covers coordination and administration, which may include estimates, owner and vendor communication, scheduling, access, progress follow-up, invoice review, documentation and closeout. It is separately disclosed, not concealed within a vendor invoice. A scope change that crosses a fee threshold may require an adjusted fee after written notice or additional authorization required by the agreement or work approval.

Owner Choice, Authorization and Transparency

Your Choice of Service Provider

An owner is not required to use Apex's in-house maintenance department, a preferred vendor or a vendor that compensates Apex. Subject to the management agreement, applicable law, licensing, insurance, safety, warranty, emergency and reasonable access or scheduling requirements, the owner may select another qualified provider or direct Apex not to use a particular provider.

For an owner-selected vendor, the owner is responsible for required qualifications, licensing and insurance. Apex may reasonably require access coordination, permits, proof of insurance or other documentation needed to protect the property and satisfy the agreement or applicable requirements.

Work Approval and Emergencies

Apex follows the spending authority and approval limits in the applicable management agreement. Non-emergency work above that limit requires owner approval unless otherwise permitted by the agreement or law. Apex may arrange emergency work reasonably necessary to protect persons or property and will provide prompt notice to the owner.

Repairs Charged to Residents

A repair is not automatically a resident obligation because Apex arranged or performed it. A charge to a resident must be supported by the lease, written authorization or applicable law. When a repair may lawfully be charged to a resident, Apex provides a reasonable description and supporting documentation. Any markup, project management fee or other compensation charged to a resident or customer must be disclosed as required.

Financial Interests and Billing Records

Apex discloses known ownership, financial or familial interests connected with the selection or use of its in-house operation or an outside vendor. The disclosure is made before or when the provider is selected or used and is updated when a new conflict or compensation arrangement becomes known.

Apex retains work authorizations, estimates, vendor invoices, material receipts, Apex invoices, owner approvals, disclosures and records of vendor compensation. Bills identify the property and work performed, with labor or quoted charges, materials, procurement markup and any project management fee itemized or otherwise clearly disclosed.

Agreements and Policy Updates

This website disclosure is informational. It does not amend an existing management agreement, lease or work authorization, or itself authorize a new charge. Changes in compensation arrangements require management approval and updated written disclosures before use. Contact Apex to confirm the terms applicable to your property or proposed work.
